Tenant Selection
Finding the right tenant is one of the most important parts of the letting process.
We carefully review enquiries and applications before putting suitable applicants forward. Applicants will usually be assessed based on affordability, employment status, rental history and referencing requirements. Where appropriate, a guarantor may be considered, subject to landlord agreement and successful checks. Once an application is agreed, a holding deposit may be taken in line with current permitted payment rules. This helps secure the property while referencing and pre-tenancy checks are completed.
Referencing and Right to Rent Checks
We arrange tenant referencing through an independent referencing provider where applicable.
This may include identity checks, credit checks, affordability checks, employment references and previous landlord references. We also arrange Right to Rent checks in line with legal requirements before the tenancy begins. Our aim is to give landlords clear information so they can make an informed decision before proceeding.
Tenant Move-In Requirements
Before occupation, tenants are required to complete all agreed move-in requirements.
This usually includes signing the tenancy agreement, paying the first month’s rent in advance, paying the tenancy deposit, completing identification checks and receiving all required prescribed documents. The deposit amount will be confirmed before move-in and handled in accordance with deposit protection requirements. We coordinate the move-in process to make sure tenants receive the correct documentation and the property is handed over properly.
Tenancy Agreements and Documentation
We prepare the appropriate tenancy agreement and supporting documents required for the tenancy.
This may include prescribed information, deposit documentation, safety certificates, How to Rent guide, EPC, gas safety certificate, electrical safety certificate and any other relevant documentation. Our team keeps the process organised and ensures the correct paperwork is issued before the tenancy begins.
Rent Collection
For managed and rent collection services, rent is collected from the tenant and transferred to the landlord once cleared, in line with our agreed terms.
We provide landlord statements and keep clear records of payments received and paid out. Where rent is late, reminders are issued and appropriate communication is made with the tenant. If further action is required, we will keep the landlord informed and advise on the next steps.

We carry out visual property checks to assess how the property is being maintained, look for visible defects and report any concerns to the landlord. Where works are required, we will advise you and help coordinate the next steps.
Safety and Compliance Support
Landlords have important legal responsibilities, and staying compliant is essential.
We can help arrange key safety and compliance documents, including gas safety certificates, electrical safety reports, EPCs, smoke and carbon monoxide requirements and other relevant checks where required. Our team will help remind landlords when documents are due and assist in arranging approved contractors where needed.
Repairs and Maintenance
During a managed tenancy, our property management team helps coordinate maintenance and repairs.
We will liaise with tenants, contact contractors, obtain estimates where required and seek landlord approval before works proceed, except in genuine emergencies where urgent action may be needed to protect the property, tenant or public safety. Where damage is caused by tenant misuse or negligence, we will advise on the appropriate route to recover costs where possible.
Utilities and Council Tax
Tenants are normally responsible for utility bills and council tax during the tenancy, unless otherwise agreed.
We will guide tenants on setting up utilities and council tax at the start of the tenancy and record meter readings where available. Landlords should also notify utility providers and the local authority of any change in occupancy, especially during void periods or between tenancies.
Inventories and Check-Out Reports
A detailed inventory is one of the most important documents in any tenancy.
We recommend a professional inventory with photographs and, where possible, video evidence before the tenant moves in. This records the condition and contents of the property at the start of the tenancy. At the end of the tenancy, a check-out report can be used to compare the property condition against the original inventory, helping to support any deposit deductions where necessary. This is essential in reducing disputes and protecting both landlord and tenant.
Let Only Service
Our Let Only service is ideal for landlords who want help finding a tenant but prefer to manage the tenancy themselves.
We can assist with marketing, viewings, tenant sourcing, referencing, tenancy setup and move-in arrangements. Once the tenant has moved in, responsibility for rent collection, maintenance, inspections, compliance renewals, notices, deposit handling and day-to-day management will pass to the landlord unless otherwise agreed in writing.
